What is an SOP and How Do You Write One?

A Standard Operating Procedure, commonly known as an SOP, is a documented set of step by step instructions for completing a recurring task or process. SOPs are the foundation of operational consistency and are essential for any organization that wants to scale without losing quality or efficiency.

Why SOPs Matter

SOPs matter because they remove the dependency on individual knowledge and experience. When a process is documented in an SOP, anyone in the organization can execute it correctly regardless of their background or tenure. This makes the organization more resilient, more consistent, and easier to scale.

When to Write an SOP

Write an SOP for any process that is done regularly, involves multiple steps, has quality or compliance implications, or requires consistency across multiple team members. If you find yourself explaining the same process repeatedly, that process needs an SOP.

How to Write an Effective SOP

Start with the purpose. Every SOP should begin with a clear statement of what the process achieves and why it matters. Then document each step in sequence using clear, simple language that leaves no room for interpretation. Include screenshots or diagrams where they add clarity. Define who is responsible for each step and what a successful outcome looks like.

Where to Store Your SOPs

Notion is an excellent tool for storing SOPs because it allows you to organize them by category, link related documents, and keep everything searchable and up to date. Make sure every team member knows where to find the SOPs that are relevant to their role.

Keeping SOPs Current

An outdated SOP is almost as bad as no SOP. Assign ownership of each SOP to a specific team member and build a regular review cadence into your internal operations schedule. Every SOP should be reviewed at least quarterly and updated immediately whenever the underlying process changes.
