How to Build and Manage Campaigns in Instantly

Building and managing campaigns in Instantly is straightforward once your email infrastructure is set up correctly. A well structured campaign has a clear target audience, a compelling email sequence, the right sending configuration, and a consistent monitoring cadence. Getting these elements right is what separates high performing campaigns from ones that generate no replies.

Creating Your Campaign

Start by creating a new campaign in Instantly and giving it a clear name that identifies the target audience and the campaign objective. This naming convention becomes important as you scale and run multiple campaigns simultaneously. Add your sending accounts to the campaign and configure your sending schedule.

Uploading Your Prospect List

Upload your prospect list to the campaign. Your list should come from a prospecting tool like Apollo and may have been further enriched using Clay. Ensure that your list includes all the variables you plan to use for personalization such as first name, company name, and any custom fields you have added during enrichment. Map these fields correctly during the upload process.

Writing Your Email Sequence

Write your email sequence directly in Instantly’s campaign editor. Most effective sequences have three to five steps with delays of two to four days between each step. Keep each email short, specific, and focused on a single message. Use Instantly’s variable syntax to insert personalized fields automatically. Write a strong subject line for the first email and use reply threading for subsequent steps.

Monitoring and Optimizing

Monitor your campaign performance daily in Instantly’s analytics dashboard. Track open rates, reply rates, and bounce rates for every campaign. If open rates are low, test new subject lines. If reply rates are low, test new messaging angles. Pause campaigns that generate excessive bounces immediately to protect your sender reputation.
